Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Administrative Coordinator. As an Administrative Coordinator, you will play a crucial role in supporting the day-to-day operations of our office. This is a full-time Monday – Friday 8am – 4:30pm position.
Responsibilities:
- Answer and direct phone calls with professionalism and excellent phone etiquette
- Perform various clerical tasks, such as filing, data entry, and document management
- Utilize Microsoft Office & QuickBooks to create, process, update, and track documents and spreadsheets
- Adhere to Standard Operating Procedures (SOPs) for all Company processes.
- Assist all departments as needed (A/R, A/P, Estimating, Approvals, Scheduling, etc.)
- Ensure all work is accurate
- Adhere to deadlines from internal and external stakeholders
- Deliver exceptional customer service by promptly addressing inquiries and resolving issues
- Deliver timely communication to internal and external stakeholders
- Collaborate with team members and manager to ensure smooth workflow and efficient operations
- Support other company operations, as assigned when needs arise
Requirements:
- Proficiency in time management, organizational skills, multi-tasking, and meeting deadlines
- Proficiency in using Microsoft Office and Quickbooks – highly preferred
- 40+ WPM – highly preferred
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Detail-oriented mindset with a high level of accuracy in data entry and documentation
- Ability to work independently as well as part of a team
- Demonstrated customer service skills with a friendly and professional demeanor
- Basic Math and algebraic calculations proficiency.
- Construction industry experience – preferred
