Job Description
We are seeking a dynamic and experienced Event Manager to join our team for a 4-month consulting role in Philadelphia, PA. This hybrid position offers the opportunity to plan and manage a diverse range of upcoming events and conferences.
Key Responsibilities:
- Deliver conferences and events with exceptional service to ensure a superior learning experience for participants.
- Manage a portfolio of programs, taking full responsibility for assigned events.
- Establish and maintain communication with faculty and program sponsors, actively participating in pre-event planning.
- Serve as the primary contact for high-profile speakers, presenters, and guests before, during, and after events.
- Integrate institutional branding and reputational goals into all event planning activities.
- Stay informed about the latest technical advancements in event hosting, including proficiency in event management software and the execution of hybrid and remote events.
- Continuously assess team training needs and share insights with the Director.
- Collaborate with Facilities and other departments to ensure seamless scheduling, appropriate space assignments, and accommodations for participants.
- Oversee the development and production of program materials, including website content, marketing invitations, and day-of event materials.
- Coordinate catering, travel arrangements, hotel reservations, and manage RSVP lists.
- Anticipate and address planning issues with flexibility and professionalism.
- Ensure registration tables are staffed and troubleshoot on the day of the event.
- Collaborate with IT and AV teams to guarantee all technology needs are met.
- Monitor sessions to ensure program leads and participants are satisfied.
- Respond to and manage logistical, content, and service requests from program leads and participants.
- Monitor and track program finances to ensure accurate expense accounting.
- Contribute to post-event critiques and offer suggestions for improvement.
- Measure and monitor the quality of all program delivery aspects, including participant evaluations, faculty feedback, and facility/dining service comments.
- Assist with follow-up efforts as directed by program directors.
- Support the Conferences and Events team by participating in and assisting with events outside your assigned portfolio, including day-of event tasks.
Qualifications:
- Bachelor's degree.
- 5 to 7 years of relevant experience or an equivalent combination of education and experience.
- A portfolio showcasing successful event design and implementation.
- Experience with Cvent.
- Strong interpersonal skills, with a positive attitude and a commitment to team success in a service-oriented environment.
- Ability to prioritize and manage multiple tasks, with excellent attention to detail and flexibility.
- Proficient tech skills, including web management and proficiency in Office 365.
- Ability to work under pressure and meet deadlines, with the flexibility to work evenings and weekends as needed.
