Position Overview

Under direction, serves as receptionist and performs a variety of complex and specialized secretarial functions at the Illinois School for the Deaf (ISD). Uses manual communication in all aspects of daily functions in relationships with students and staff. Assists in monitoring and controlling student intake and discharge documents for unit. Determines and collects information from student files, attendance records and responds to ISD staff, Local Education Agency (LEA)s, agencies, and individuals requesting student records. Gathers and distributes statistical information. Schedules supervisor's appointments and makes arrangements for appropriate meetings.

Essential Functions

  • Utilizes complex terminology related to the education of the deaf and produces and keyboards letters, documents, detailed statistical reports, memoranda, and charts from handwritten notes.
  • Assists in monitoring and controlling student intake and discharge documents for unit.
  • Determines and collects information from student files, attendance records and responds to ISD staff, LEAs, agencies, and individuals requesting student records, monthly attendance reports and other required and requested student information, in accordance with the Illinois School Student Records Act.
  • Gathers and distributes statistical information for required surveys related to federal and state agencies. 
  • Updates and prepares a variety of material for public relations purposes for unit supervisor. 
  • Organizes and maintains several separate filing systems. 
  • Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college  OR Completion of high school and two (2) years of related office experience OR Two (2) years independent business experience. 
  • Requires ability to keyboard accurately at 30 wpm.
  • Requires the ability to communicate in sign language at the Survival Plus level.

Conditions of Employment

  • Requires ability to utilize computer software such as Microsoft Office suites in the preparation of reports, spreadsheets, and presentations.
  • Requires ability to pass the IDHS background check.
  • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
